Human Resources Banner, Compliance, Reporting, and Training Specialist

Function of the Job

Perform highly responsible office and administrative duties for the Human Resources department.

Duties and Responsibilities

  1. Responsible for data entry and set-up of payroll deductions, beneficiaries and dependents, new hire information, and terminations into the Banner system and submission of EPAF’s (Electronic Personnel Action Form).
  2. Responsible for building positions, updating employee information, and updating tables in the Banner system.
  3. Set up and maintain current accurate personnel files for all staff including ensuring job descriptions and evaluations are completed.
  4. Responsible for completion and obtaining signatures for Recommendation for Appointments (RFA’s).
  5. Responsible for personnel document imaging system.
  6. Responsible for submission of new hire information, demographic information changes, retirements, event processing, and terminations to the State Universities Retirement System (SURS).
  7. Responsible for reconciliation of annual State Universities Retirement System OAG (Office of the Attorney General) data.
  8. Responsible for assigned purchase orders, dental funding, and bill reconciliation for health insurance plans.
  9. Responsible for Affordable Care Act (ACA) data entry in the Banner system and reporting.
  10. Responsible for notifying SVCC health benefit providers of changes including enrollment, terminations, COBRA, and qualifying events including SURS.
  11. Responsible for the Flexible Spending Program.
  12. Responsible for the Leave Sharing Assistance Program.
  13. Assist with the SVCC Health Insurance Open Enrollment.
  14. Co-Chair of the Recognition Committee.
  15. Responsible for recognition events (Sauk Celebrates, Years of Service, and Retirement Ceremony) including correspondence, ordering gifts, room setup, and working the event.
  16. Responsible for ensuring tracking and compliance of required training (e.g. sexual harassment, Title IX, DCFS, etc.).
  17. Responsible for required government reporting.
  18. Responsible for required College reports including the personnel graduation list.
  19. Perform office functions including correspondence, mail, reports, maintenance of confidential information, schedule appointments/meetings, and reserve rooms as needed.
  20. Assist with updating job descriptions as requested.
  21. Assume all other reasonable professional duties and responsibilities as assigned by the supervisor.

Essential Functions

  1. Must understand and support the mission of the community college.
  2. Must be able to handle discreet and sensitive issues and maintain confidentiality.
  3. Must have strong skills in customer service and possess excellent verbal and written communication skills, including social media.
  4. Must be able to work with Microsoft Office products.
  5. Must be able to establish and maintain effective relationships with co-workers and other individuals.
  6. Must be able to interpret rules, regulations, policies, and procedures.
  7. Must be able to work in a team environment.

Personal Interaction

Frequent contact is made with all levels of College personnel, the general public, and outside organizations in relation to routine departmental services and duties and in providing appropriate assistance and information as requested.

Requirements

Bachelor degree and two to three years of responsible office experience or equivalent education and experience required. Proficiency in computer word processing and spreadsheet required; experience with insurance claims and payroll experience preferred. Human Resources experience strongly preferred.
