Administrative Assistant to the Student Support Services Project Director

Function of the Job

Perform secretarial and administrative duties for the Director of Student Support Services and the program staff. Responsibilities include independent preparation of required reports, assistance with budget records, and clerical responsibilities.

Duties and Responsibilities

  1. Assist director in development of detailed reports, review of applications, compile and collect information, budgets, orientation of new staff, and data entry for compliance with Department of Education guidelines and SVCC.
  2. Perform responsible office and administrative duties for the Director of TRIO and TRIO staff.
  3. Manage program application process including maintaining student records in databases.
  4. Manage TRIO student alumni tracking.
  5. Source, implement, and train on new software for TRIO Program.
  6. Manage front desk process including coordination of work-study schedules, responsibilities, and verification of timesheets.
  7. Assist in TRIO Grant Aid Scholarship process.
  8. Handles TRIO social media presence providing training to work-study students on processes.
  9. Manages inventory and coordinates distribution of TRIO’s electronic and textbook lending program.
  10. Prepare periodic large mailings for current and prospective participants and update marketing materials.
  11. Assume all other reasonable professional duties and responsibilities as assigned by the supervisor.

Essential Functions

  1. Must understand and support the mission of the community college.
  2. Must be able to operate office equipment proficiently.
  3. Must be able to provide and understand verbal/visual orders from supervisor and to the general public.
  4. Must be able to present information to students, staff, and the general public.
  5. Must possess excellent computer skills with the ability to work with Microsoft Office products.
  6. Must be able to handle discreet and sensitive issues maintaining confidentiality.
  7. Must be able to interpret rules, regulations, policies, and procedures.
  8. Must be able to communicate effectively by phone and email on a daily basis.
  9. Must be able to work in a team environment.
  10. Must be able to work some nights and weekends as needed.

Personal Interaction

Frequent contact is made with College personnel, faculty, students, and the general public in the routine performance of duties and in providing departmental services.

Supervision Excercised

Functional supervision is exercised over designated College work-study students.

Requirements

Associate’s degree in Office Management or a related field required and three to four years of experience or equivalent education and experience. Excellent organizational, communication, and interpersonal skills. Word processing, database, and spreadsheet application skills. Experience delivering personalized services while working in a high-volume environment. Preferred: Background similar to that of the Student Support Services Program participants.
