FUNCTION OF THE JOB:

Responsible for the development, coordination, and operation of Sauk Valley Community College’s dual enrollment program. Assist and guide the general public and college staff with the verification portion of the enrollment management process. Perform administrative duties as assigned.

DUTIES AND RESPONSIBILITIES

  1. Provide information regarding enrollment and program information (credit and non-credit) and schedule appointments for the one-stop area.
  2. Provide information and assistance on college policies and procedures to regarding enrollment management processes and procedures.
  3. Assist in the student registration and record keeping functions.
  4. Refer students to other services including, but not limited to the testing center, financial assistance, academic advising, business and community services, and disability support services.
  5. Prepare transcripts upon written request from students.
  6. Educate and assist current and former students, staff, and faculty with on-line technical assistance
  7. Assess and process applications, registrations, changes in student information, eligibility, and residency requirements in Sauk systems.
  8. Verify student in-district or out-of-district residency status by utilizing area county tax assessment records.
  9. Safeguard student information in accordance with relevant privacy laws, including the Family Educational Rights and Privacy Act (FERPA) and Student Right to Know.
  10. Participate in the development of the department operational plan.
  11. Assist with the training and supervision of student employees.  Could be deleted as it is under supervision exercised.
  12. Assist students in setting up payment options.
  13. Assist the records coordinator and records analyst with reviewing, evaluating, and processing of high school transcripts including entering ACT, SAT, and test scores into the BANNER system.
  14. Assist with of the annual commencement ceremony.
  15. Build and maintain effective relationships between the area high schools and the College. Communicate with high school counselors if issues arise preventing registration.
  16. Review and interpret test scores and high school transcripts in accordance with the college placement policy.
  17. Assist with duties pertaining to dual enrollment functions including but not limited to tracking and verifying all admission requirements of Dual Credit students, verifying and certifying rosters for individual dual credit courses, preparing documents for Dual Credit registration, and coordinating with the business office on billing procedures for all dual credit registrations.
  18. Ensure names of area high school students are entered into the Banner system.
  19. Develop in cooperation with the supervisor, annual goals and objectives. Prepare and submit to the supervisor a monthly report summarizing activities and accomplishments of the previous month.
  20. Assist with processing Career Agreement requests.
  21. Plan and coordinate the New Student Orientation; and assist in organizing Dual Credit and Academy Information meetings and Academy application functions.
  22. Assume all other professional duties and responsibilities as assigned by the supervisor.

ESSENTIAL FUNCTIONS:

  1. Must understand and support the mission of the community college.
  2. Must have strong skills in customer service and possess excellent verbal and written skills.
  3. Must be able to work in a team environment.
  4. Must be able to provide and understand verbal/visual orders from supervisor and to subordinates.
  5. Must be able to work flexible hours including some evenings and weekends.
  6. Must be able to operate computers and be proficient with social media.
  7. Must be able to travel to various sites throughout the district.

PERSONAL INTERACTION:

Frequent contact is made with all levels of college personnel, students, the general public, and outside organizations in relation to services and duties providing appropriate assistance and information as requested.

SUPERVISION EXERCISED:

Functional supervision over work-study students.

REQUIREMENTS:

Requirements include an Associate’s degree in a related field and two or three years of experience, preferably in a community college. Experience in recruitment and retention preferred. Strong oral communication skills required.

TORT LIABILITY STATEMENT:

Coordinates the College Risk Management Program in a capacity appropriate to this position. This includes, but is not limited to, monitoring conditions, events and circumstances present through daily College operations, and communicating observations to the appropriate supervisor or taking necessary actions to correct, prevent or limit safety problems.
